BC Grain Producers Association General Manager

Responsibilities:

The General Manager for the BC Grain Producers will be responsible for the administrative core functions of the BC Grain Producers general operations and provide assistance to directors and committee chairs, as well as assist the Board of Directors in the development and execution of the BCGPA strategic plan.

Administrative:

• Ensure the efficient and effective day-to-day operations of the BCGPA
• Arrange and/or participate in conference calls
• Organize board and committee meetings; prepare meeting agenda with direction from the President and supporting materials, including recording of minutes and distribution
• Create meeting schedules and board time management (Be aware of directors' schedules so timely board, research, and other sub-committee meeting dates may be drafted)
• Correspondence and responses to issues affecting the grain sector – independently and with help from directors
• Employee and contractor contracts, managing office staff of the ‘General operations’ side
• Maintain an organized office, filing system, records
• Securely store records and maintain producer confidentiality
• Keep track of conference room rentals/agreements and invoicing
• Assist in travel arrangements for directors
• Communicate with staff and research payroll questions/issues, advise the Research Department regarding payroll/human resource issues

Project Administration

• Preparation of funding proposals, including written application & budget
• Monitor project budgets
• Interim and final funding reports as required, including financials
• Administer outside projects as needed

Research Department Business Manager

• First line of contact with funders
• Sit on the Human Resources Committee
• Assist with research funding proposals
• Write employee contracts

Communications

• Advertising & news articles, monitor media for relevant articles
• E-mail, mail, and phone call management
• Keep brochures and materials current
• Keep website updated
• Gather material for and create a quarterly newsletter, as well as other mailouts as needed
• Grain prices and community announcements on the radio
• Travel to regional, provincial, national, and international meetings as required
• Community Outreach
• Prepare monthly briefing notices for board/local groups
• Attend local and regional agriculture events
• Engage with school districts to encourage youth to be involved with agriculture
• Political Outreach
• Prepare quarterly updates for municipal, provincial, and federal political representatives in North Peace and South Peace

Operational planning and management

• Ensure the operation of the BCGPA meets or exceeds the expectations of the producers, Board, and funders in keeping with the mandate/strategic plan.
• Create and maintain a succession and training manual for new directors and staff to implement BCGPA policies
• Provide directors with speaking notes and briefings on current issues
• Research issues on behalf of directors when requested
• Attend industry meetings with or on behalf of directors as required

Event Planning

• Organize industry events in response to current issues as per request of directors or project chairs or as determined by the General Manager (AGM, local industry meetings & seminars, source potential speakers and workshops/seminars)
• Organize regional/provincial meetings when required
• Collaborate with Research manager on the planning and executing of the annual crop tour (event
structure, information material, catering)

Leadership

• Participate with the Board of Directors in developing a vision and strategic plan to guide the organization and assist in the execution of the strategic goals being set
• Keep informed (and inform the board if needed) of current issues that affect the BCGPA
• Cultivate teamwork with the Board of Directors, Research Manager, and staff
• Be prepared to act as a spokesperson for the BCGPA in the event a board member is not available
• Prepare official correspondence on behalf or with the Board as appropriate
• Ensure appropriate member services are provided

Community relations/advocacy

• Establish good working relationships with community groups, funders, politicians, local Government
• Be a representative of the BCGPA at community activities to enhance community profile
