Admin Assistant-Projects
The Admin Assistant-Projects will assist the project management team with administrative tasks and supporting activities, assisting in planning, organization, and quality control of the project. This position reports to the Project Manager as part of a collaborative, team-based culture. This is a project-based position, currently hiring for our Whitehorse, Yukon project.
Responsibilities
• Maintain and distribute site records; post records to company document management system and assemble documents to support claims.
• Administer requests for information; liaise with project team, client, and subcontractors.
• Complete daily tickets for cost tracking and billing.
• Oversee accurate completion of all site paperwork including time sheets, dailies, invoices, and work records for accurate cost coding to applicable contract items.
• Ensure head office has all required paperwork.
• Pick up materials from vendors as required.
• Filing and archiving of project documents.
• Work closely with the project manager, estimator, and site superintendent to minimize their need to do task work.
• Support with health & safety and environmental requirements of the work.
• Drafting minutes of meetings
• Assist with the onboarding process including safety requirements for new hires.
• Sign out assets.
Skills and Abilities
• Well organized, detail oriented, punctual.
• Strong written and oral communication and interpersonal skills.
• Adaptable, team player and enthusiastic learner with the ability to work collaboratively in a multi-disciplined team.
Qualifications & Experience
• Excel, Word
• Valid Class 5 driver’s license & clean drivers abstract.
• 1-3 years administrative experience
